Administrator - Fleet and Operations
Job Description
THE WORK
Coordinate, administer and oversee a variety of operations duties including fleet and equipment along with operations duties to ensure smooth and efficient daily operations. This role is responsible for.
General
- Customs and shipping documents via ACE/ACI (Bill of Landing, customs paperwork)
- Provide administrative support to other departments or projects as needed
- Set up and maintain corporate cell phones & iPads
- Coordinate the maintenance of all corporate and rental property facilities
- Backup for coordinating the maintenance of office (copiers and printers)
- Backup for travel bookings
- Fleet
- Coordinate a fleet of Cargo Vans, Pick-ups and Tri-axle trucks
- Coordinate and Maintain fleet utilization, preventive maintenance schedules, locations, operators, insurance, etc.
- Prioritize and schedule service as per Preventative Maintenance Program
- Coordinating third party onsite and offsite repair execution, and maximizing fleet uptime
- Establish/ maintain key relationships with fleet vendors (fuel providers, parts vendors, repair mechanics, leasing companies, etc.) and ensure seamless assistance to field operations
- Coordinate CVOR program and vehicles details and licenses pertaining to it
- Review and maintain driver abstracts, policy sign-off and vehicle insurance list and let management aware of changes affecting a crew member who operates a company vehicle
- Work with Health & Safety to ensure COR compliance are met
- Review pre-use vehicle inspections
- Document driver and shop correspondence as well as shop recommendations and corrective actions planned, resolve all driver issues
- Review, track and follow up on any infractions ensuring incident corrective actions are followed up on and completed
- Inform management of any new or conflicting legislative matters that could impact operations, costs, and/or health and safety, ensuring full compliance of all level of government legislation
- Fuel and Points Cards – determine who requires cards, distribute, update and maintain list
- Work with respective departments in cases of vehicle accidents
- Prepare and submit reports as requested
- Assist in the acquisition and setup outside of the accounting system
Equipment
- Coordinate large and small construction equipment
- Work with Health & Safety to ensure COR compliance are met
- Review and track pre-use equipment inspections
- Coordinate and Maintain preventive maintenance, schedules and locations for equipment.
- Prioritize and schedule service and inspections as per Preventative Maintenance Program with applicable departments
- Assist in the acquisition and setup outside accounting system
- Update and maintain internal equipment rates
- Maintain internal tracking Excel sheets
Tools
- Work with Health & Safety to ensure COR compliance are met
- Review and track inspections
- Manage and ensure safety checks are done on all tools as per Preventative Maintenance Program
